Step by Step Guide to On-boarding On Campus Student Employees

Below is a step-by-step guide to onboarding student employees at SRJC.

STEP 1: Student begins search of on campus positions
  • All open positions will be posted on the SRJC Job Board
  • Students can access these from any location
  • Optional Contact: Career Hub, front desk, Santa Rosa Campus
STEP 2: Student wants to apply to an on campus position

Depending on the campus, the student will go to one of the following offices:

  1. Santa Rosa Campus
    • 3rd Floor Bertolini Student Services Building
    • Contact: Career Hub front desk, Santa Rosa Campus
  2. Petaluma Campus
    • First Stop Desk
    • Contact: First Stop Staff
  3. Shone Farm
    • Shone Farm
    • Contact: Robin Zolotoff
  4. Southwest Center
    • 3rd Floor Bertolini Student Services Building
    • Contact: Career Hub front desk, Santa Rosa Campus
STEP 3: Student applies to departments with paper application

Department locations are listed on the Job Board

STEP 4: Supervisor offers position to student.

    STEP 5: Student will return to the original location of where they picked up original application to pick up a new hiring packet or a Request/Approval (RA form).
    • Student will fill out all pieces of the hiring packet, including the RA form by the supervisor, and return the packet to the same location they picked up the hiring packet.
    • Budget Codes are the responsibility of the hiring department and will be entered into Escape as they are listed on the RA form.
    STEP 6: Hiring Packet is approved by individuals at each site (including I9 approval) using the check-off sheet created in the Career Hub.

    • Southwest Center: Jamie Longnecker (Santa Rosa Campus)
    STEP 7: Supervisors are informed of clearance and/or of discrepancies hindering clearance
    • Will come via email from one of the individuals listed above
    • If there are discrepancies in the packets that will hinder hiring, it is up the student and/or the supervisor to find a solution
    • Questions and concerns can be directed to Jamie Longnecker at the Career Hub.
    • Students can be working after they are approved, but timesheets will not arrive until up to two weeks after approval.
    STEP 8: All hiring packets will be sent into Jamie Longnecker at the Career Hub, Santa Rosa Campus for processing to Human Resources and Payroll.
    1. Payroll will be creating timesheets and emailing supervisors and students directly.
      • Questions regarding timesheets should be directed to Jamie Longnecker at the Career Hub, not the Payroll department directly.
    2. Human Resources will be storing all approved employee files.
      STEP 9: Evaluations

      Once completed, please send to Jamie Longnecker at the Career Hub to be processed.

      • 200 hours (Tier 2)
        • To be eligible for tier 2 all students must:
          • Complete at least 200 hours
          • Students are auto-awarded tier 2 once they hit the minimum required hours, however, we do still recommend you send them into the office when completed
      • 600 hours (Tier 3)
        • To be eligible for tier 3 all students must:
          • Complete at least one (1) unit of Work Experience
          • Complete 600 hours of on campus employment
          • Have a 600 hour evaluation completed with supervisor and submitted to the Career Hub.
      STEP 10: Terminations
      • Once completed, please send to Jamie Longnecker at the Career Hub to be processed
